Family Housing Handbook

The following handbook answers common questions people have about living in Family Housing.

 

Car Sharing

If you currently do not own/operate a vehicle on campus, you can be eligible for a FREE membership in the Victoria Car Share Co-op. This program is designed to support those living on campus that cycle, walk, and take transit -- and intended to encourage current vehicle drivers to switch to sustainable transportation.

As a member of the Victoria Car Share Co-op students have access to 18 vehicles in greater Victoria, including 4 on campus. There are currently 2 vehicles located in the FSH complex: a 2004 Kia Rio wagon and 2008 Kia Sedona minivan. Members of the co-op book a vehicle when they need them online at www.victoriacarshare.ca or using the 24 hour booking service.

Child Care

Child Care Services has 6 centres which provide care for children newborn to 12 years of age. Care is available for children of students, staff, and faculty.

Child Care Staff are professionally trained and offer developmentally appropriate programming. To help cover the costs of child care, Provincial government child care subsidy is available to parents eligible to receive it. Student bursaries for child care are available through the Student Awards and Financial Aid office.

Enrollment is limited and parents are advised to register for child care several months in advance of the date child care service is required. For more information visit the UVic Child Care Services website or call (250) 721-8500.

Conflict Resolution

If offended by noise or the actions of another tenant, the offended party should talk directly to the offender. In the event an agreed upon solution cannot be reached between tenants a complaint may be registered with the Housing Office.

If a complaint is registered with the Housing Office, an Incident Report (email) must be submitted by the offended party so the Manager, Accommodation and Administration can investigate the situation. An incident report must include:

    • name and contact information of the complainant;
    • name or unit number of the alleged offender(s);
    • date and location the incident(s) took place;
    • nature of the complaint;
    • what action has already been taken;
    • reason why the behaviour is deemed unacceptable.

       

The incident will be investigated by the Manager, Accommodation and Administration to determine the next course of action.

Additional complaints or concerns can also be made to Counselling Services, Campus Security or Equity and Human Rights.

Composting

In 2007, as a part of the university's goal to reduce waste and greenhouse gas emissions, Facilities Management installed two green totes into each waste and recycling enclosure in Family Housing.

Acceptable items:

* Vegetable and fruit peels and pits
* Left over foods (including cooked foods and foods with meat or dairy)
* Paper napkins, paper cups and paper plates
* Coffee grounds and filters
* Tea bags
* Wooden stir sticks or chopsticks
* Plants and cut flowers

Damage

Each tenant is responsible for the cleanliness of their own unit. The Tenancy Agreement Holder will be held responsible for any damage and charges assessed to his or her unit. Deliberate damage to any Family Housing property will result in immediate eviction.

Furnishings

Family Housing units are not furnished.

Each kitchen contains a fridge, stove, and dishwasher. Tenants in townhouses can bring their own washer and dryer. See laundry for more details.

Garbage

There are several garbage locations throughout the complex. It is the responsibility of each tenant to remove all garbage from their unit and place in the appropriate location.

Internet / ResNet

Housing, Food & Conference Services manages the subscription service for ResNet which provides access to the UVic campus network, to Canadian and international research networks and to the commercial Internet.

New subscriptions can be arranged at the Housing Office. You will need to know the data port number (wall jack # e.g. D234) that you wish to have activated.

The cost for the first data port activated is $25.00 per month and each additional port is charged at $12.50 per port per month. ResNet payments can be made with your rent payment.

Keys

Family Housing Units are given two sets of keys upon check-in. Requests for extra sets of keys must be approved by the Family Housing Assignment clerk before they will be issued by the front desk. Additional keys cost $5 per key. If a set of keys is lost, a lock change will be ordered and $175.00 (effective May 1, 2010) will be charged to your account.

Laundry

Smart Card laundry machines are available in laundry huts throughout the Family Housing Complex. The first floor of each apartment building has a laundry room with Smart Card machines.

Townhouses have washer and dryer hookups in each unit and tenants can provide their own machines.

To use the laundry facilities on campus students will need to purchase a Smart Card. Smart Cards can be purchased at dispensing/re-load machines located in the Housing Office and outside of Caps Bistro in the Cadboro Commons Building. Additional re-load machines are located in the 38 and 39 apartment blocks.

Initial cost of the Smart Card is $5.00 (cash only). Cards can be loaded in increment of $10-$20 or $50, you can use Cash (no change given, exact amount required), Debit, Visa or MasterCard. The cards have no expiry date and balances are non-refundable. Lost cards cannot be replaced.

Cost is $1.80 for each wash or dry cycle and you can purchase super wash or extra drying time in $0.25 increments.

Maintenance

Repair Hotline 250-721-8650 or send an email.

Facilities needing repair must be reported to the Housing Office as soon as possible. Permission to enter must be obtained prior to Maintenance Staff entering your unit.

Parking

Tenants must purchase their parking permit(s) and receive their designated parking spot directly from Campus Security Services.  Permits must be displayed in all vehicles parked in the Family Housing area. Visitors must purchase and display a valid general parking permit during the times when user-pay parking is in effect.  Visit http://web.uvic.ca/security/ for further information.

Recycling

There are several recycling locations throughout the complex. It is the responsibility of each tenant to remove items from their unit and place in the appropriate location.

Acceptable items include:

Corrugated cardboard: break down boxes and remove tape/staples

Mixed paper: newsprint, scrap paper, notebook paper, phone books, cardstock and boxboard

Plastic bottles and containers: rinsed out bottles and containers with #1 - #7 printed on the bottom

Glass bottles and containers: rinsed out glass bottles and jars. No broken glass or mirrors.

Metal and aluminum tins and cans: rinsed out metal and aluminum tins and cans

Batteries: There are 3 drop box locations for personal batteries: the University Centre, the Student Union Building and the Ian Stewart Complex. No damaged batteries please.

Cell phones: There are 2 drop box locations for personal cell phone recycling: the University Centre and the Student Union Building.

Storage

All apartment buildings and townhouses have storage and space to lock bicycles. Each townhouse has its own private lockable storage room located outside the unit. The apartments have one central storage room and one bike locker room located on the first floor of each building.
